Request to Hire Temporary Employee from a Staffing Agency

The Human Resources department of Claremont McKenna College (CMC) will arrange for all temporary employee(s) from a staffing agency. Requests to supplement the regular workforce can be made upon receipt of written approvals. The Human Resources department will retain contractual agreements with temporary staffing agencies to,

  • ensure compliance with the minimum wage, overtime, child labor, and equal pay requirements;
  • maintain workers’ compensation insurance (provided on demand) on all workers who work for the College and indemnify the College against any liability;
  • meet Title VII and ADEA guidelines in order to establish non-discriminatory practices;
  • provide background investigations on all temporary employees.
Procedures:

Each hiring department must complete the form below to request to hire a temporary employee from a staffing agency.  Once the completed form is received, Human Resources will initiate a job requisition in Workday where the necessary approvals will be obtained.  Please allow 2-3 days for approvals to be received in Workday.  Once the job requisition is approved in Workday, Human Resources will start to recruit for the position with the staffing agencies.

By selection on the form, manager/supervisor may conduct interviews with candidates from staffing agency or request HR to complete interviews with candidates. 

Invoices from the staffing agency will be forwarded to the hiring department for payment every week.

Constant communication is encouraged between the hiring manager and Human Resources to make sure the work expectations are being met.  Please feel free to contact your Human Resource partner with any question(s) or concern(s) regarding work performance, attendance, etc.

The temporary assignment will end on the requested end date. To extend an assignment, a new request form must be submitted to the Human Resources department at least two weeks prior to the end of the assignment.  Once the completed form is received, Human Resources will initiate a job requisition in Workday where the necessary approvals will be obtained

When the assignment ends, employment status and accesses of the temporary employee from a staffing agency will be terminated. If an employee is terminated and you wish to rehire them, you must complete a new request form and they cannot begin work until the new form is received by the Human Resources department and approvals are obtained in Workday.
